Course Hub Partner operates this Smart Course Hub. This page explains how information is handled when you browse courses, speak with Jenny, book a call, or use the client area.
Information we use
- Website visits: our hosting service may process technical information such as your IP address, browser details and requests to serve and protect the site. The guide form temporarily counts requests by IP address in server memory to limit abuse; it does not add your IP address to the lead database.
- Free guide: if you request the AI Business Starter Map, we store your first name, email address, the course page where you requested it and the time of the request in this site’s database. The guide is made available for immediate download. If you separately tick the optional marketing box, we record your consent and its time. No marketing email service is currently connected to this form.
- Jenny: if you choose live voice, your microphone audio and conversation are sent to OpenAI to generate Jenny’s replies and a course recommendation. If you use the text option, the words you type are used in your browser to suggest a course; the site requests a link for that course. This site does not save Jenny’s audio or conversation text in its own database.
- Client area: authorised clients provide login details and may save site settings, course links, campaign copy and uploaded images. Passwords are stored as salted hashes, and the site uses a session cookie to keep clients signed in.
- Bookings and purchases: if you choose to follow an external booking or purchase link, the destination service collects information under its own privacy notice.
Why we use it
We use this information to show courses, provide the guide you requested, offer optional guidance, maintain client accounts and keep the site secure. We use guide request details to provide the guide and manage requests; any future course emails require your separate opt-in. Our legitimate interests include protecting the service against misuse. We use client account information to deliver the service requested by the client. You can stop using Jenny’s microphone at any time by ending the conversation or closing the dialog.
Who receives it
Our hosting provider processes site requests and stores guide requests in this site’s database. Authorised client area users can view and delete guide requests. Guide requests are not sent to the social publishing Make connection or to an email marketing service. OpenAI processes live Jenny voice sessions. Calendly handles call booking when you follow a booking link. A purchase provider handles a purchase if you follow its link. Authorised clients can send approved marketing content and media through their configured Make connection. How long information is kept
The site does not keep Jenny conversations in its database. The client sign-in cookie expires after 12 hours. Guide requests remain in the client database until removed by an authorised client or following a valid privacy request. Client settings, campaign content and media remain while needed to run the client service, unless removed earlier. Hosting and third-party services apply their own retention periods; OpenAI explains API retention in its data controls linked above.
Cookies
The client area sets a strictly necessary, secure sign-in cookie called course_hub_admin after a successful login. It keeps an authorised client signed in for up to 12 hours. This version of the site does not set advertising or analytics cookies in its own code. External booking or purchase services may set their own cookies after you leave this site.
Your choices and rights
You can choose whether to use Jenny, allow microphone access, request the guide, opt in to future course emails, book a call or follow an external link. You may withdraw marketing consent at any time. Depending on the circumstances, you may ask to access, correct or erase your personal information, or to restrict or object to its use. To make a privacy request, contact our team. You can also complain to the UK Information Commissioner’s Office.
